Plix ("we", "us", or "our") provides AI-powered body cameras, reporting tools, and a web platform for security and operations teams. This Privacy Policy describes how the Plix Reports mobile application (the "App") handles personal information. This App is intended for use by organizations that are Plix customers ("Customers") and by their authorized personnel ("Users").

1. Information We Collect
Depending on how your organization uses Plix, we may process the following information through the App:

Account and Profile Information

  • Name, email address, and other account identifiers provided by your organization
  • Organization name and role
  • Assigned device IDs and body camera IDs

Report and Content Data

  • Incident report text entered by Users
  • Voice dictation used to create reports (including audio and transcribed text)
  • Photos and videos attached to reports
  • Metadata such as timestamps, locations, report status (draft/submitted), and related shift information

Device and Usage Information

  • App version, device model, operating system version
  • Log data related to app performance, crashes, and feature usage
  • Basic interaction data (for example, when reports are created, edited, or submitted)

Location Information

  • Location associated with reports, either provided by the User or inferred from device location when enabled and permitted by your organization
  • Location of body camera events where supported
  • We do not collect payment card information through the Plix Reports app

2. How We Use Information

We use the information collected through the App to:

  • Provide the core functionality of Plix Reports, including creating, editing, and submitting incident reports
  • Process voice dictation and body-camera content to generate AI-assisted narratives and suggested evidence
  • Sync reports and related evidence to your organization's Plix web platform for supervisors and administrators
  • Maintain security, monitor misuse, and protect the integrity of the platform
  • Improve the reliability, performance, and user experience of the App and related services
  • Provide customer support and respond to technical issues
  • We do not use data from Plix Reports for third-party advertising

3. How We Share Information

We may share information:

  • With your organization (Customer): Reports, evidence, and usage data are available to your organization's administrators and supervisors according to their configured access controls.
  • With service providers: We use trusted third-party providers for cloud hosting, data storage, logging, monitoring, and AI processing. These providers are bound by contractual obligations to protect your information and use it only to provide services to us.
  • For legal reasons: We may disclose information if required to do so by law or in response to valid legal requests, or to protect the rights, property, or safety of Plix, our Customers, or others. We do not sell personal information.

4. Data Retention

We retain report data, associated media, and account information for as long as your organization's Plix account remains active or as required to provide services under our agreement with your organization. See "Data Retention Policy" below for more detail. If your organization requests deletion of certain data, we will take reasonable steps to comply within a commercially reasonable timeframe, subject to our legal obligations and legitimate business interests.

5. Security

We implement technical and organizational measures designed to protect data processed through the App, including encryption in transit, access controls, and logging. No method of transmission or storage is 100% secure, but we work to continuously improve our security posture. Access to the Plix Reports app is restricted to authenticated Users authorized by a Customer organization.

6. Your Organization's Role

Plix Reports is provided to you by your employer or contracting organization. That organization acts as the controller of most personal data processed through the App. They may have their own policies regarding how they use and retain data. If you have questions about access, retention, or deletion of your data, please contact your organization's administrator first.

7. Your Choices

You may be able to update or correct certain profile information in the App or via your organization's administrator. You may control device-level settings for location services and camera/microphone access, which may affect certain features of the App. To stop using the App, you can uninstall it from your device. This does not automatically delete report data already processed by your organization.

8. International Transfers

Depending on your location and the location of your organization, your data may be processed and stored in data centers located in other countries. Where required, we apply appropriate safeguards for such transfers.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date above. Material changes may be communicated through the App or via your organization's administrator.
